Summary of Position:
Circle the City is a local nonprofit that provides healthcare for the homeless. This front and back office position supports day-to-day operations of the health center by performing administrative tasks and ensuring high quality customer service for our patients. The Patient Services Representative serves patients by fulfilling medical records requests while adhering to state and federal guidelines, managing incoming phone calls and managing patient registration.

Duties include, but are not limited to:
Welcomes guests by greeting patients and visitors, in person or on the telephone; answering or referring inquiries
Optimizes patient’s satisfaction, provider time, and treatment room utilization by scheduling appointments in person or by telephone
Answer requests for medical records or information; prepare records for release to patients and other entities while following agency procedures and maintaining HIPAA compliance
Determine records to be released by reviewing requestor information in accordance with HIPAA guidelines and obtaining provider agreement as indicated in agency policies and procedures
When required, respond to walk-in patients requesting medical records and file information provided by patients in EMR
If necessary, respond and process requests from physician offices on a priority basis and fax information to the physician office
Log medical record requests and releases in the EMR
Collaborates with management throughout each shift to determine work assignments and priorities, as well as communicating the status of delegated task completion and outcome of patient data findings
Maintains timely, ongoing verbal communication in order to assure good care of patients and the effective running of the clinic
Keeps patient appointments on schedule by notifying provider of patients arrival; reviewing service delivery compared to schedule; reminding provider of service delays
Comforts patients by anticipating patient’s anxieties; answering patients questions; maintaining the reception area
Maintains patient accounts by obtaining, recording, and updating personal and financial information.
Obtains revenue by recording and updating financial information; recording and collecting patient charges; filing collecting and expediting third party claims when appropriate
Maintains office inventory and equipment by checking stock to determine inventory level; anticipating needed supplies; verifying receipt of supplies; scheduling equipment service and repairs
Protects patient’s rights by maintaining confidentiality of personal and financial information
Performs other duties as required
Bilingual English/Spanish required
Basic knowledge of medical terminology highly desired
Ability to use computer for recording patient data /history
Proficient in reading and writing skills in English and Spanish
Excellent communication and customer service skills
Ability to work in a fast-paced, challenging environment
High school diploma or GED (preferred but not required)
Experience in Medical Records preferred
Experience in a medical environment highly desirable
Bi-lingual communicative skills required
Requires a current Arizona state driver’s license
Physical and Mental Requirements
Position requires extended periods of sitting and standing.
Position requires regular bending and reaching, including transfer of patients.
Must be able to lift, carry and push 20 pounds on a regular basis.
Must be able to lift and carry up to 50 pounds on an occasional basis.
